Description

Your registration fee covers your participation at The Collective: February 28 - March 2, 2018 in Knoxville, Tennessee. Included with your registration is:

  • a continental breakfast, snacks, and coffee Thursday and Friday,
  • the opening night dinner and reception on Thursday,
  • and a lovely swag bag.

The optional dine-arounds (Wednesday) and pub crawl (Friday) require separate registration and are pay-your-own.

Venue

Sessions will be at the Holiday Inn Downtown Knoxville. Other events will be held at locations in the downtown Knoxville area within walking distance of the official hotel.

Weather Policy

Refunds cannot be made to individual registrants due to weather-related transportation issues. Please see the full terms and conditions below.

Parking

Free parking is available for all conference attendees in the Holiday Inn Downtown Knoxville self-parking garage. Parking validation is not available for the surface lots.

Registration Fees, Completion, and Payment

We use Eventbrite to help streamline the paperwork and orders, since we're a volunteer staffed small organization. Your $80 in registration goes to directly cover costs of your attendence (i.e. food!) and Eventbrite charges $6.51 in fees if you pay via credit card, $3.99 in fees if you pay by check or invoice. We prefer credit card or check, but we understand some institutions require invoices.

Registration is complete and a seat will be reserved for you only when payment is received.

Cancellations

If you must cancel your registration, please do so as soon as possible. A full refund, minus $20 handling fee will be made if your written cancellation request is received no later than 30 days before the event. After that date, refunds are not available. Registered participants who do not cancel their registration in writing are responsible for the program registration fee, even if they do not attend.

Substitutions are encouraged in lieu of cancellation and can be made at any time. E-mail written requests to corey@thelibrarycollective.org.


Registration Terms and Conditions

The Library Collective, a Tennessee 501(c)(3) corporation, (“The Library Collective”) is proud to produce The Collective annual gathering (“Event”). By clicking “accept” below, Participant agrees as follows:

Definitions:

Code of Conduct: The Library Collective’s Code of Conduct, which details rules of behavior while attending the Event.

Event: Annual event presented by The Library Collective.

Library Collective, The: A Tennessee 501(c)(3) corporation.

Participant: Includes:

a) A person who registers for The Library Collective for themselves; or

b) A person who attends The Library Collective, and (a) someone else registered the person, or (b) someone else transferred their registration to the person; or

c) Anyone who attends the Event with the approval of The Library Collective.

1. Authority: I am at least 18 years old, and I agree to these terms; or, I am at least 18 years old, and I have authority to agree to these terms on behalf of another person who will attend The Library Collective annual gathering.

2. Scope: These terms govern all aspects of your interaction and participate with The Library Collective, including registration and all in-person attendance at The Library Collective’s events.

3. Credentials:

a. Authenticity: The Library Collective and its agents and representatives are the sole distributors of The Library Collective credentials. The Library Collective may revoke any inauthentic credentials. Further, The Library Collective may pursue any and all legal action available against any person involved in the creation, dissemination, or use of an unauthorized credential.

b. Title: The Library Collective owns title to its credentials.

c. Distribution: The Library Collective will issue credentials only to Participants named in the registration process.

d. Non-Transferable: Once a Participant retrieves their credentials, the credentials are non-transferable.

e. Wear/Display: Participant must wear all appropriate credentials at all times, when participating in The Library Collective’s activities. Participants must wear lanyards around their neck, and must wear wristbands around their wrist.

f. Revocation: The Library Collective may revoke any Participant’s credentials at any time if the Participant violates this agreement.

4. Transfers; Cancellations; and Refunds:

a. Transfers:

i. The Library Collective is a not-for-profit entity, and relies on registration fees to help ensure that The Library Collective will continue to provide high-quality events. Accordingly, The Library Collective strongly encourages Participants to transfer their registrations to another person, rather than cancelling.

ii. Participants may transfer their registration credentials to another person at any time before the Event starts. To transfer credentials, please contact: corey@thelibrarycollective.org.

b. Cancellations:

i. Participants may cancel their registration no later than January 31, 2018 at 11:59 PM Eastern Time by providing written notice to the following email address: corey@thelibrarycollective.org. The Library Collective will refund Participant’s registration fees, minus a $20 service charge.

ii. If a Participant needs to cancel their registration, Participant must do so as soon as reasonably possible.

iii. Participants who fail to cancel their registration before the deadline, or who fail to follow the applicable steps to cancel, acknowledge that the Participant will not receive a refund even if the Participant does not attend.

c. Refunds: After January 31, 2018 at 11:59 PM Eastern Time, all fees paid to The Library Collective are non-refundable.

5. Code of Conduct: Participants must comply with The Library Collective’s Code of Conduct at all times while attending the Event. The Library Collective may revoke, without refund, a Participant’s credentials if the Participant fails to comply with The Library Collective’s Code of Conduct.

6.Photographs/Audio/Video: The Library Collective, or its representatives or agents, may take photographs, audio recordings, or video recordings at any time during the Event. Participant hereby grants to The Library Collective an irrevocable, perpetual, royalty-free, sub-licensable, and worldwide license to use Participant’s image, name, voice, or likeness, or any combination of Participant’s image, name, voice, or likeness. Participant hereby grants to The Library Collective the right to use Participant’s image, name, voice, or likeness, (or any combination of Participant’s image, name, voice, or likeness), for any purpose, including commercial purposes.

7. Weapons: The Library Collective’s Event is a private event, and The Library Collective prohibits Participants from carrying weapons of any kind, including concealed or displayed firearms. Participant acknowledges that The Library Collective’s anti-weapons policy applies, regardless of whether signage is present. The Library Collective may revoke, without refund, a Participant’s credentials if the Participant possesses weapons at any time during the Event.

8. Search: For the safety of all attendees, Participant hereby consents to allow The Library Collective to search Participant’s belongings before granting Participant access to the Event.

9. Waiver of Claims: Participant understands that participating in the Event is voluntary, and might involve risks, such as physical injury, property damage, or other loses. Participant hereby assumes all risks of damages or losses that might occur during the Event.

10. Indemnification: Each Participant (each an “Indemnifying Party”) agrees to indemnify, defend, and hold THE LIBRARY COLLECTIVE and its officers, employees, volunteers, contractors, suppliers, and representatives harmless, from and against any and all claims, demands and all other liabilities, including, but not limited to, costs and attorneys’ fees, made by any third party arising out of or in connection with the Indemnifying Party’s use of the registration(s) or Credentials, or any violation of this agreement by the Indemnifying Party.

11. Limitation of Liability:

a. In no event will The Library Collective be liable to any Participant, or any other person or entity, for any personal injury or damages to property, damages for loss of business profits or other pecuniary loss, including any direct, consequential, incidental, special, punitive or similar damages, arising out of any Participant’s use of the registration, credentials and/or participation in the Event, even if The Library Collective has been advised of the possibility of such damages.

b. In the event that a court finds The Library Collective liable, the parties hereby state that the parties intend that The Library Collective’s liability to any Participant be limited to a refund of Participant’s registration fees, regardless of the severity of the damages or losses.

12. Disclaimer: The Library Collective does not provide legal, accounting, or other professional advice. Except as may be expressly set forth in these terms, Participant’s participation in the Events, and all services and products provided in connection with the events, are provided “as is” without any warranty of any kind, and no other warranties, whether express, implied, or otherwise, are made with respect to the same, including any implied warranties of merchantability, fitness for a particular purpose or safety, or any warranties that may arise from course of dealing. The Library Collective expressly disclaims any warranties not expressly stated herein.

13. Governing Law: Tennessee law, without regard to its principles of conflicts of law, governs this agreement. Participant irrevocably consents to conducting any litigation and associated activities in the appropriate forum located in Knox County, Tennessee.

14. Dispute Resolution: As the exclusive means of initiating adversarial proceedings to resolve any dispute arising out of this agreement, either party may demand that the dispute be resolved by mediation conducted by a Tennessee licensed mediator located in Knoxville, TN.

15. Force Majeure: The Library Collective’s failure to perform any, or all, of its obligations under this agreement will not constitute a breach of this agreement if The Library Collective’s failure to perform was due to any event or circumstances beyond The Library Collective’s reasonable control (“force majeure event.”). If a force majeure event causes The Library Collective to reschedule the Event Participant hereby acknowledges that Participant’s registration fees will be applied to the rescheduled Event. Further, Participant acknowledges that Participant is responsible for any costs Participant incurs due to airfare, hotel, etc. fees for cancellation or rescheduling.

16. Severability: The parties intend as follows:

a. that if any provision of this agreement is held to be unenforceable, then that provision will be modified to the minimum extent necessary to make it enforceable, unless that modification is not permitted by law, in which case that provision will be disregarded;

b. that if an unenforceable provision is modified or disregarded in accordance with this section, then the rest of the agreement will remain in effect as written; and

c. that any unenforceable provision will remain as written in any circumstances other than those in which the provision is held to be unenforceable.

17. Revisions to these Terms: The Library Collective may revise these terms at any time, without notice. Participants hereby acknowledge that The Library Collective’s then-current terms govern all matters of the Event.

18. Entire Agreement: This agreement constitutes the entire understanding between the parties with respect to the subject matter of this agreement and supersedes all other agreements, whether written or oral, between the parties.
